MEDICAL BACK OFFICE SUPERVISOR
STATUS: Full-Time, Exempt
POSITION SUMMARY: The Medical Back Office Supervisor is responsible for the smooth operation of the Medical Department back office. Will supervise Medical Assistants and other back office staff. Establishes and maintains a collaborative working relationship with providers and front office staff to ensure smooth patient flow and the provision of high quality services.
DUTIES AND RESPONSIBILITIES:
? Responsible for the smooth operation of the Medical Department back office including all policies and procedures. Establishes and maintains a collaborative working relationship with providers and front office staff to ensure smooth patient flow and the provision of high quality services at all times.
? Supervises, trains, develops and evaluates Medical Assistants and other back office staff.
? Performs as a Medical Assistant whenever necessary, i.e. sets up examining rooms; prepares patients to be seen by the medical provider; takes vital signs, medical history
and chief complaint; performs immunizations and vaccinations; performs labs including
Hct, UA, EKG and others; assists providers during scope exams or procedures; sterilizes instruments; keeps instruments and exam rooms clean and orderly; administers and assists patients in filling out surveys and questionnaires; assists in other support services necessary for the orderly flow of patients including pulling and filing charts, etc.; assists with tracking and rescheduling of patients as needed; inputs and updates patient data into medical data software systems; assists providers in making and tracking referrals.
? Maintains compliance with OSHA standards, calibration of instruments, etc.
? Works closely with staff to ensure the smooth flow and proper documentation of immunizations.
? Prepares curriculum and facilitates Medical Assistant training modules.
? Checks and enters daily productivity numbers for monthly productivity report.
? Works with providers to facilitate prescription refills and clarification.
? Assists in triaging patients for care and help coordinate patient flow as directed.
? Supervises medical supply ordering.
? Inputs and retrieves personal and medical information on patients into the MediTracks system.
? Works closely with vendors and other outside entities.
? Provides information for reports as needed.
? Participates in Safety Committee meetings and other quality improvement projects.
? Attends weekly staff meetings and monthly general staff meetings.
? Follows all agency HIPAA and safety rules and regulations.
? Maintains strict conduct regarding patient confidentiality.
? Performs other duties as assigned.
WORKING CONDITIONS:
Will be working in a fast paced medical environment. Will need to be able to walk, stoop, bend and lift up to 25 lbs. Normal working hours are from 8:00 am until 5:00 pm Monday thru Friday. Working hours will vary depending upon need. Will need to be flexible in performing tasks with limited discretion in making judgment decisions.
REQUIRED QUALIFICATIONS, KNOWLEDGE AND ABILITIES:
? LVN or RN (re-entry Nurses are welcome to apply) preferred with a current CA license.
? Will accept National Certification for Medical Assistant with 12 years experience.
? A minimum of 2 years supervisory experience and demonstrated supervisory and
management skills.
? Bilingual in English/Spanish is required.
? Excellent written and verbal communication skills.
? Excellent customer service skills and results orientation.
? Ability to interact with individuals from diverse backgrounds (e.g. culture, education, profession, etc.) Ability to communicate effectively and to establish and maintain professional relationships with others.
? Ability to function independently and as a team member within diverse environments as well as with a diverse staff composition.
? Demonstrated ability to perform multiple administrative functions simultaneously in an accurate, organized, and efficient manner. Ability to multitask and thrive in a fast-paced, constantly changing environment.

? Knowledge of and ability to work with the American Indian community and other minority populations.
? Knowledge of office systems. Computer literacy and knowledge of Windows environment and software (e.g., Microsoft Office Suite including Word and Excel).
? Possession of a valid California Driver License, automobile insurance, and a clean
driving record.
? Ability to maintain strict confidentiality.
